Bespoke order management software.

We build order management software that pulls every channel into one queue, allocates stock centrally, and drives picking, dispatch and invoicing without anyone rekeying an order.

Order Management Software Demo | One System from Order to Despatch video thumbnail6:04

A short walkthrough of one order followed the whole way through. An order that arrived through the website is pulled straight in and phone lines are added to the same order rather than becoming a second job, then stock is allocated against what is genuinely free so the same pallet cannot be promised twice, with anything short put on back order. The second half covers the purchase order approval chain, whose thresholds and named roles are the client's own settings rather than something fixed in the software, a pick list ordered by where things sit in the warehouse, and a despatch that invoices only what actually went out. The screens shown are an example of the order to cash system we build around a distributor's own way of working.

Questions about this video

What the video shows

One order taken once and followed through: a website order and phone lines on the same ticket, stock allocated against what is genuinely free with the shortfall put on back order, a purchase order approval chain that changes with the value of the order, a pick list sorted by where stock sits in the warehouse, and a despatch that invoices only what actually shipped. It is a real system, built for a trade supplier around the way its order book already runs.

Where the demo stops

It is deliberately scoped to the order to cash flow. It does not book goods in against a purchase order, and where an invoice passes to the accounts package that is the hand-off point rather than a live link to a particular product. Connecting it to something like Xero or Sage is a separate piece of work.

What an order management system does

An order looks simple from the customer’s side, they pay and a parcel turns up. Behind that, one order can touch six systems, the storefront it came from, the stock that has to be reserved, the courier that carries it, the invoice that has to be raised, and the spreadsheet someone keeps just to be safe. We build bespoke software that is the record of every order from the moment it lands to the moment it is paid for and closed, capturing the order, checking you can fulfil it, reserving stock, sending it to be picked and dispatched, and passing the numbers through to your accounts. The point is not storing orders, your storefront already does that, the point is orchestration, deciding which warehouse an order ships from, which items to allocate when stock is tight, when to hold an order that looks fraudulent, decisions where money is won or lost. It also gives everyone a single version of the truth, customer service sees exactly where an order is without ringing the warehouse, finance sees revenue as it is actually fulfilled, and the person on the packing bench works from the same live picture as the buyer deciding what to reorder.

Where boxed platforms hit their limits

Plenty of good products exist, Linnworks, Brightpearl, Cin7, Katana and others handle the common case well, and if one genuinely fits how you sell, use it, it is cheaper and quicker than building. The strain shows when your operation stops looking like the average the product was designed for, an unusual allocation rule, shipping from the nearest warehouse or splitting an order across sites, that the platform only offers a fixed way to handle, a piece of data that drives your dispatch, a delivery window, an account’s credit terms, a batch number, with nowhere sensible to live, a workflow like backorders, part-shipments or bundles that needs a manual detour every time, or running costs that creep as you grow while you own nothing at the end. None of that means the boxed products are bad, it means the operation has outgrown the assumptions baked into them, the moment a bespoke build stops being an indulgence and starts being cheaper than the workarounds, see bespoke vs off-the-shelf software for how we weigh that decision.

What we build

Every build starts with your process, not a template. Capture and validation, orders flowing in from every channel, checked against stock, credit terms and fraud rules, and landing in one queue with no rekeying. Allocation and fulfilment, your rules deciding which stock and which location fills each order, handling part-shipments and backorders cleanly. Pick, pack and dispatch, the system driving the warehouse floor and booking the courier, connecting to a dedicated warehouse management system where barcode-driven picking is the priority. Order-to-cash, invoices, payments and credit notes raised as orders fulfil, so finance sees real revenue. And returns and after-sales, refunds, exchanges and restocks following a defined path instead of a pile of emails. Purchasing and replenishment flow back the other way too, where raising and approving supplier orders is a job in itself, that links to dedicated purchase order software, and for a whole third-party logistics operation, the picture extends into 3PL software.

Multi-channel, B2B, and what it costs

Most sellers do not sell in one place any more, orders arrive from a storefront, marketplaces, a trade phone line and increasingly a B2B portal, each with its own stock feed and its own idea of what “in stock” means. A bespoke system holds one pool of stock that every channel reads from and writes to in real time, allocates against it the instant an order lands, and pushes corrected availability back to every storefront as fast as each one accepts updates, pairing naturally with a dedicated stock control system for the deeper reorder-point and supplier side. Trade customers order differently again, buying on account, expecting negotiated pricing, ordering in case or pallet quantities, and a consumer checkout handles none of that gracefully, which is exactly what a dedicated B2B ordering system is for, alongside wholesale distribution where trade sits at the centre of the business rather than alongside retail. Cost tracks the work, how many channels feed in, how clever your allocation rules are, how many systems you are integrating, a tidy build that unifies two channels is a modest project, a platform orchestrating several marketplaces, warehouses and a B2B portal is a larger investment, see our bespoke software cost guide and how long bespoke software takes for the fuller picture. A worked example of order to cash, built for a trade supplier, sits on our Poole page. If oversells and rekeyed orders are quietly capping how much you can ship, get in touch or call 01202 237027.

What you get.

01

One queue, every channel

Orders from your storefront, marketplaces and trade customers land in a single queue, validated against stock, credit terms and fraud rules before anyone touches them.

02

Stock allocated from one pool

A central pool is allocated the instant an order lands, and the corrected availability pushes back to every channel as fast as each one accepts updates.

03

Order-to-cash without rekeying

Invoices, payments and credit notes raise as orders fulfil, so finance sees real revenue and your accounts stay in step automatically.

The difference it makes.

  • Fewer oversells refunded because two channels sold the same unit
  • One queue instead of copying orders screen to screen
  • Customer service sees exactly where an order is without ringing the warehouse
  • Backorders, part-shipments and bundles handled without a manual workaround
  • Finance sees revenue as it's actually fulfilled, not as it was promised
  • Adding a channel or warehouse is a change, not a new licence tier
  • No per-order platform fee climbing with every sale
  • You own the system and the data outright

Talk to us

It is the software that runs an order from the moment it is placed to the moment it is paid for and closed, capturing orders from every sales channel, checking and reserving stock, deciding where each order ships from, driving picking and dispatch, and passing the figures to your accounts.

Yes. A bespoke system holds a single pool of stock that every channel reads from in real time, so the last unit is far less likely to be sold twice, and it applies your own rules to decide which warehouse or location fulfils each order.

When you've outgrown the assumptions those products are built on, allocation rules the platform cannot bend to, key data with nowhere to live, workflows like part-shipments that need a manual workaround every time, or running costs that climb as you grow.

It depends on scope, the number of channels, how complex your allocation rules are, how many systems you are integrating. A two-channel build that syncs to your accounts is a modest project, a multi-warehouse platform with a B2B portal is a larger investment.
