Hello, my name is Luke. I work for a company called Expect Best.

This is a quick look at a demo we have created for a client who wanted a job quoting and workshop scheduling system. What you're currently seeing is a very basic example of the main functionality he wanted for this system.

When you first load into the system it opens to the customer enquiry page. Our client wanted a very streamlined system to help him and his business, as the forms on his website for enquiries are very detailed. So with this system it will turn enquiries straight into quotes, as you can see, with dimensions and materials already entered, and a material list and the cost worked out automatically.

As you can see on the left hand side, there is a wide range of options that we have made for him, such as kitchen islands, bookcases, wardrobes, staircases, even garden gates. With this system in place, our client can now get quotes out a lot faster to his customers, which is one of the main reasons we made this system for him.

There is also a very nice breakdown that he can print out, or quite easily copy and paste, that will definitely help him out along the road.

The next thing he wanted was an area for all of the work that is currently being done, so a workshop board. Every job appears as a simple card. This shows all the stages of the job, from new enquiries to quoted, to in progress, all the way to delivered.

Originally, each card had simple arrows, so you could click them and it would just move it along, but instead we decided to add a more drag and drop feature, so now you can just quite easily drag and drop each of these cards into their respective areas once that work has gone forward. For our client this has made it a lot easier for everything to be organised, and now his staff know exactly what they're doing next.

The main reason for this system, if I could go into a bit more detail, in the first place was to make it again a lot easier for our client's customers and employees. So for his customers it's a lot quicker to get a quote on how much a certain job would be, and for the employees this means spending a lot less time faffing around with certain paperwork, and now they always know what needs to be done and when it is due.

[A few seconds are missing from the captions here.] Adding new materials, customising the pricing, or just changing the standard price, or just simply adding new staff, or changing their job roles.

He also wanted a statistics page which shows which job takes the longest to quote, the materials that have been used the most, which is very handy for him to know on hand.

We made this system so it can be run on pretty much everything within a browser, so this can be used on laptops, tablets or phones, and it updates the very moment you change something, so nothing is ever getting left behind.

Systems like this can scale to whatever level of detail you need it to be, from something even simpler than this to a way more fully bespoke build.

What the video shows

A short walkthrough of a bespoke joinery system: enquiries turning into priced quotes with materials worked out automatically, and a drag-and-drop workshop board tracking every job from Quoted to Delivered. It is a real system, built for a joinery workshop around the way that workshop already works.

Whether this is an off the shelf product

No. This one was built for a single workshop, around its own pricing method and materials. Yours would be built the same way, around your rates and your workshop process.

What joinery software should do for a modern workshop

Joinery is not a single job, it is a chain. A customer asks for something made to measure, someone prices it, that price becomes an order, the order becomes cutting lists and a works order, the workshop makes it, and a van delivers and fits it. Good joinery software follows that chain end to end so nothing falls through the gap between the office and the shop floor. You build a quote from your own components, a sash window, a fitted wardrobe, a run of oak stairs, and material and labour costs roll up automatically, approved quotes turn into jobs without anyone retyping them, each job carries its cutting lists, ironmongery, finish and delivery date, and the workshop sees what is due this week without asking the office. None of that is exotic, it is the difference between software that mirrors how a joinery business runs and a general tool you bend to fit, the second kind leaves you doing the joining-up by hand, and that manual glue is where mistakes and lost hours live.

Why off-the-shelf joinery software rarely fits

There are packaged products aimed at joinery, and for some shops they are fine, but the word “joinery” covers wildly different businesses, a firm churning out standard casement windows works nothing like a bespoke cabinet maker, a staircase specialist or a commercial shopfitter, yet they are all offered the same rigid menus and the same fixed pricing logic. The mismatch shows up fast, the product prices by a formula that is not how your estimator thinks so you override every quote, its cutting-list output does not match your optimiser or beam saw so someone re-keys it, and it knows nothing about your finishing or how you stage deliveries for a site fit. Bespoke earns its place when every quote gets overridden, when the cutting list is re-typed and the odd transposed figure scraps material, when the spreadsheet runs the shop and only one person really understands it, or when nobody can see the workshop and the office promises dates it cannot check. See bespoke versus off-the-shelf software for how we weigh that decision.

What we build

We do not sell a fixed joinery product, we build the system your workshop needs. Quoting and estimating, pricing a made-to-measure job from your own catalogue of components so a window, wardrobe or staircase costs itself as you specify it, this joinery pricing sits inside a broader discipline covered by our quoting and estimating software for trade work beyond the workshop. Automatic cutting lists, turning an approved job into an optimised cut plan with no re-keying, and works orders, issuing a clear, job-specific instruction to the workshop, if shop-floor paperwork is your priority, see works order software. For ranges where a customer chooses size, material and options and the price follows the rules, a product configurator can drive quoting and cutting straight from the selection, and where your operation looks more like a manufacturing line, batches, routings, stock control across the shop, the system extends naturally into full manufacturing ERP software. Bespoke joinery software is not a replacement for your design or CAD package, it sits alongside it, you design where you design, the system prices, plans, cuts and tracks.

What that looked like for one workshop

We built this system for a joinery workshop. The screenshots below are from it, with the company name and the customer details changed.

An enquiry open beside its measurements, with the quote pricing itself line by line underneath from the workshop's own timber and labour rates.

An enquiry arrives with its measurements and the quote prices itself, line by line, from the workshop’s own rates rather than from a formula an estimator has to override.

The material and labour rate list the quotes are built from, with each timber, board and labour type priced and editable by the firm itself.

Those rates belong to the firm. When the price of a board moves, it moves in one place and every future quote follows it.

The same quote as the customer receives it, shown as the covering email alongside the formal quotation document with its itemised lines and total.

The same quote as the customer receives it, as a covering email and as the quotation document itself.

The workshop board showing every live job spread across the five stages this workshop uses, with the total value of the work sitting under each column.

Every live job sits on one board, across the five stages this workshop actually uses, with the value of the work under each column.

A reporting view showing which job types take longest to quote and which materials the completed work has actually consumed.

Because quoting and production run through the same system, the firm can see which job types take longest to quote and which materials the work actually uses.

How it connects, and what it costs

Approved quotes and completed jobs can flow through to Xero or Sage so invoices raise themselves and your accounts stay straight without re-keying every job into the ledger, and cutting lists can be produced in the format your optimiser or saw expects, so the office plan and the machine plan are the same numbers, the kind of joining-up covered by systems integration. Cost tracks the work involved, how much of the chain you cover, how many people use it, and how much pricing and cutting complexity sits underneath, a focused build, an estimating and cutting-list tool that retires the dangerous spreadsheet, is a modest project, a full system that quotes, cuts, issues works orders, tracks production and posts to your accounts is a larger investment over months. Customer details, quotes, drawings and job history live in one place you control, with access set so the workshop sees what it needs and pricing stays with the people who set it, the practical side of your obligations under UK GDPR. If you are re-typing cutting lists, overriding every quote, or trusting a spreadsheet that only one person understands, get in touch or call 01202 237027, or see our bespoke software cost guide and how long bespoke software takes for the fuller picture. For a worked example, our Fox Wardrobes project record describes a system carrying a fitted wardrobe job from the first enquiry through survey, quote, contract, factory cut list and installation.

What you get.

01

Quotes built from your own components

A sash window, a fitted wardrobe or a run of stairs prices itself from your catalogue of materials and labour, with the same method every time.

02

Cutting lists without re-keying

An approved job turns into an optimised cut plan for timber and sheet material in the format your saw or optimiser expects, no transposition errors.

03

The workshop and the office see the same job

Every live job shows its stage, cut, assembled, finished, ready, delivered, so the office answers a call from the screen, not a guess.

The difference it makes.

  • Every quote priced by your method, not a generic formula
  • No more re-typed cutting lists and the scrapped material that follows
  • One system instead of a whiteboard, a spreadsheet and memory
  • Purchasing knows what to order before the machinist runs short
  • Works orders carry the full spec, ironmongery and finish
  • Live view of every job's stage across the workshop
  • Timber and board price changes update every future quote at once
  • You own the system and the data outright

It manages the flow of a made-to-measure workshop, quoting, cutting lists, works orders, job tracking, purchasing and delivery, in one connected system. An approved quote becomes a live job with its cut plan and specification already attached, so the estimator, the machinist and the office all work from the same information.

Yes. Rather than force a bench joiner, a staircase specialist and a cabinet maker into the same rigid product, a bespoke system is built around how your particular shop prices and produces, shaped to your components, pricing method and workshop, which you own outright rather than renting per seat.

Yes. Once a job is specified, the system can generate an optimised cutting list for timber and sheet material in the format your saw or optimiser expects, so nobody re-types numbers from the office into the machine, removing a common and expensive source of error.

Usually yes, and that is fine. Bespoke joinery software is not a CAD or design package and does not try to replace one, you design where you design, the system prices, plans, cuts, schedules and tracks, and connecting the two is a normal part of the work.
