What the video shows

How custom HR software can bring onboarding, holiday tracking, performance and compliance into one place, shaped around your existing processes.

Whether this is off the shelf HR software

No. We design the system around your business, so what you see is an example. Your version fits your processes and integrates with the tools you already use.

Where off-the-shelf HR platforms stop fitting

There are plenty of capable HR products on the market, and for many employers one of them is genuinely the right call, we will say that plainly. But organisations with any real complexity tend to hit the same walls: packaged HR is built for a generic employer, so if your holiday accrual, your shift-based entitlements or your multi-stage approval chain do not match the software’s assumptions, you spend your days working around the tool. A manufacturer needs HR tied to who is trained on which machine, a care provider needs DBS status to gate the rota, and off-the-shelf HR rarely bends that far. You also pay for as long as you use it, and own nothing at the end. If none of those walls is one you actually hit, a packaged HR product is the right call, buy it with a clear conscience. If several do, a system built around your organisation is worth a serious look, the same reasoning we set out in bespoke vs off-the-shelf software. For a smaller employer weighing exactly that trade-off, our guide to HR software for small business walks through it in detail.

What a custom HR system covers

We start from how you actually manage people, not from a feature checklist. A bespoke HR system for a UK organisation usually pulls together a single, permission-controlled people record with access rules so a line manager sees what they should and no more; holiday and absence built to your policy, your accrual, carry-over and part-time pro-rata maths, with a shared team calendar; document management with an audit trail, contracts and policies held with versioning and e-signatures; onboarding and offboarding workflows so every starter gets the same paperwork; and training, certification and compliance dates tracked against each person, flagging before they lapse. Because the system is yours, it connects to whatever else you run, where staff work shifts HR ties naturally into rota and staff scheduling software.

How a custom HR project works

A bespoke HR build should never feel like a leap of faith. We sit down with whoever owns people today and map how it really works, the holiday rules, the approval chain, the awkward exceptions nobody writes down, because this is candid territory it is best done in a room. We agree the screens and permission model early so who sees what is settled on paper, deliver the system in short reviewable increments, and go live carefully, often running alongside the current setup at first so no one loses access to a holiday balance mid-year. A focused system, holiday, absence and a central people record, is a contained build, a broader platform tying HR to training, rotas and payroll is a larger one, see how long bespoke software takes.

Cost, data and getting started

Custom HR is priced by what it has to do, how many stages of the employee lifecycle you automate, how many roles need their own permission level, and usually the biggest single factor, how many other systems it has to talk to. Set that against an HR subscription that runs every year with nothing owned at the end. HR software also holds some of the most sensitive data an organisation stores, health records, disciplinary notes and special category data, and a bespoke system lets you set precise rules for who sees each type of record, supporting the approach set out in the ICO’s employment and special-category-data guidance. See our bespoke software cost guide or go straight to pricing.

What you get.

01

One employee record

Contracts, reviews, training and personal details held against one profile, instead of scattered across folders and spreadsheets.

02

Leave without the back and forth

Staff request leave, managers approve it, and the calendar and entitlement update automatically.

03

Reminders that fire themselves

Probation reviews, contract renewals, visa expiries and certification dates flagged before they become a problem.

The difference it makes.

  • Fewer emails and spreadsheets to maintain
  • Records and documents held securely in one system
  • Leave requests and approvals handled automatically
  • Fewer missed renewal and review dates
  • Staff self-service for leave and personal details
  • Works alongside existing payroll where practical
  • Reporting on headcount and absence trends
  • Built around your own policies and workflow

Talk to us

Buy off the shelf when your HR needs are standard and self-contained, holiday, records and documents, with nothing unusual about how you run people. Build bespoke when HR has to connect to the rest of your business, or when your policies are genuinely your own and a generic tool forces you to water them down.

It is priced by what the system has to do, how much of the employee lifecycle it automates, how many permission levels it needs, and how many other systems it integrates with. Centralising holiday and documents is a modest project; gating rotas on certification and feeding payroll is a larger investment.

Yes, that integration is often the strongest reason to build rather than buy. A bespoke system can tie people records to who is on the rota, gate scheduling on live certification status, track training and feed payroll where your payroll software offers an interface or import, so the same information is not retyped across separate tools.

Employee records include salary, health and disciplinary information, some of it special category data under UK GDPR, so a bespoke system gives you precise control over who sees each record type and how long it is kept. Because the system is yours, you set the rules rather than accepting a vendor's defaults.
